13. DUTIES OF THE SECRETARY/TREASURER

  1. The Secretary/Treasurer shall notify the Board members of any regular or special meeting when so advised by the President.
  2. It shall be the duty of the Secretary/Treasurer to record the proceedings of the Joint Board, to record attendance, to keep and preserve the minutes of all Board meetings and answer all communications.
  3. It shall be the duty of the Secretary/Treasurer to have at all meetings a copy of the District Constitution and Bylaws, standing rules book of parliamentary procedure endorsed by the Joint Board, list of current Joint Board members and a list of all unfinished business, a copy of which shall be given to the presiding officer.
  4. It shall be the duty of the Secretary/Treasurer to collect all money due the District and give his/her receipt thereof.
  5. It shall be the duty of the Secretary/Treasurer to keep a regular accounting of money as received and pay it out on order of the Joint Board and make a monthly itemized report of the sums paid out of the balance on hand or deficiencydue the treasury accompanied by the proper vouchers, which are to be presented to the Joint Board for approval at the regular monthly meetings.
  6. It shall be the duty of the Secretary/Treasurer to submit the  District financial records annually to the auditing firm designated by the Joint Board for the purpose of a properaudit.
  7. It shall be the duty of the Secretary/Treasurer to provide to the Board for acceptance at the regular monthly meetings of the District such financial records as the Joint Board may designate.
  8. It shall be the duty of the Secretary/Treasurer to serve as advisor to the District bookkeeper.
